Miami, Florida, Description Job Summary Responsible for research, input and maintenance of data and gift entry to ensure the accuracy of cash gifts, stock donations, and pledges recorded in the Raiser’s Edge database. Performs audits of integrity for data entry and provides support to leaders. Oversees implementation of procedures that ensure the accuracy and integrity of the donor database, including data entry and output, technology management, and end-user training and support. Job Specific Duties Accurately researches and enters the daily receipt of gift checks including stock gifts and in-kind gifts. Responsible for establishing & overseeing processes related to the financial lockbox & caging procedures. Interfaces with departments & vendors to ensure processes are accurate & efficient. Responsible of daily monitoring of data entry for gifts, allocation, following donor instructions, and checking data entry accuracy. Verifies and researches payments against pledges. Runs daily proof reports for each gift batch. Maintains confidentiality regarding all gifts through the foundation and other office assignments.
Responsible for researching & data entry of all levels of biographical information into the Raiser’s Edge as provided by constituent’s information on checks or correspondence. Responsible for creating new entity records for donors, prospects & corporations and coding deceased individuals. Creates and maintains policies and procedures related to gift entry, receipting, pledge reminders, and other gift-related procedures. Processes recurring gift and pledges and works in collaboration with finance to reconcile adjustments. Prepare gift reports for circulation to appropriate Foundation staff. Prepares and mails all tax receipts for all gifts. Prepares and mails recognition letters for all gift types and invoices. Develops strategies to distribute workload among the gift processing team to facilitate timely gift processing, receipting, and acknowledgment. Trains, guides, and mentors team members on best practices for gift processing, data entry, and donor management. Acts as the primary liaison with internal and external stakeholders on all matters pertaining to gift processing, including finance, development, and external auditors.
Evaluates and recommends new technologies or enhancements to existing systems to improve gift processing operations. Provides necessary reports and support during internal and external audits. Manages special projects and initiatives as assigned. Oversees and ensures the strict privacy of donor information and complies with all relevant legislation and standards. Creates regular and ad hoc reports for senior leadership and the board of directors on gift processing trends, challenges, and opportunities. Leads the implementation of changes to gift processing systems and procedures, ensuring minimal disruption and clear communication with all stakeholders. Collaborates with the Marketing team to ensure that donor correspondence is regularly updated. Handles complex donor inquiries and resolves any escalated issues related to gift processing. Qualifications Minimum Job Requirements 4-7 years of office experience with word processing, spreadsheets, and databases 4-7 years of experience in Foundation or similar setting Knowledge, Skills, and Abilities High school education or equivalent preferred. Advanced computer skills on MS Office (Word, Excel, etc.
) and accounting softwares. Highly detail oriented with a critical degree of accuracy regarding data entry and analysis. Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines. Good problem-solving skills. Ability to understand and follow directions and complex policies and procedures. Ability to deal with confidential data.
