Miami, Florida, Description Job Summary Works in the Facilities Administrative Offices viewing TMS and Service Now Work Order system requests, receiving telephone call requests, and answering phone for emergency and nonemergency calls. Dispatches Facilities Mechanics to calls and requests in accordance to priority level. Creates and closes work orders and distributes, and tracks. Reports on work order systems and workload productivity to all mechanics and supervisors. Maintains daily dispatch log and monitors Total Maintenance System (TMS) work orders and collects compliance data from the work order responses provided by the mechanics. Job Specific Duties Receives incoming calls, dispatch calls, monitor the NCHS facilities work order, and ensure timely completion of incoming work order requests. Distribute work orders daily and close completed work orders daily. Review the data required and provided by the mechanics for missing or erroneous information and inform the Supervisors of mistakes that need corrections. Acknowledges and dispatches mechanics to emergency work orders, fire alarms, elevator entrapments, etc. Communicated all crisis conditions to Leadership following the emergency tree call out process.
Ensures daily, weekly, and monthly work order productivity reports will be developed and issued to Leadership for review and comment. Works in a high volume incoming call center answering on average 20-25 calls per hour with multiple (up to 4) incoming lines. Answers phone calls in a professional and respectful manner. Assists visitors and vendors with directions on how to get to NCHS facilities. Monitors temperature, humidity, and pressurization status continuously to ensure AHU’s remains in normal range for approximately 100 HVAC units located throughout all NCHS facilities (on and off site). Receives/sends commands, information, and requests using two way radios. Performs daily radio checks with mechanics and supervisors. Assists with providing assigned keys to Mechanics and outside vendors. Maintains a log of keys assigned to non-facilities staff. Ensures all keys are accounted for at the beginning and end of shift.
Communicates all discrepancies to supervisor. Completes handoff check list for each shift. Logs all utility interruptions/alarms/major issues are recorded on the proper logs. Create and/or update work orders on proper electronic system. Supports in gathering data on the customer satisfaction survey process to ensure the mechanics are meeting and/or exceeding targeted service scores as measured by the internal departmental service survey performed quarterly. Data is reported to supervisor. Continuously updates daily events log (life safety, utility interruptions, issues, etc. ) Assists the Compliance Lead with sorting, filing, and scanning/uploading of compliance documentation. Serves on the Disaster Readiness Team and Hurricane Team A/B. Provides excellent customer service to all internal leaders, staff, co-workers, visitors, and patients.
Responsible for reaching out to determine needs and providing service recovery. Assists with the employee scheduling process and helps to find coverage for call outs. Qualifications Minimum Job Requirements 2-4 years of experience in hospital operations Prior customer service experience Knowledge, Skills, and Abilities High school education or equivalent preferred. Facilities experience preferred. Able to comprehend verbal and written instructions. Able to relate cooperatively and constructively with clients and coworkers. Ability to follow simple instructions to accomplish repetitive tasks. Excellent customer service skills. Computer literate and able to learn new software.
