DAY IN A LIFE
This position, under general supervision, advises graduate students concerning the academic requirements for their chosen program. Position responsibilities include assisting graduate students with understanding the processes for registration, course selection, and other processes necessary to facilitate the successful completion of their chosen program. This position may supervise projects.

WAYS TO CONTRIBUTE
Support – Graduate Student Support

  • Advise graduate students regarding degree requirements, university regulations, procedures, and rules. Advocate for student needs associated with their educational and academic program. Communicate accurate and timely information and interpret institutional and program requirements, per the university catalog. Help students transition into the university and help them to succeed in their graduate educational endeavors.
  • Direct students to resources, programs, and services on campus. Help students integrate information to make well-informed academic decisions. Work to establish a partnership with students that will guide them efficiently through their academic program.
  • Assist students with course selection and the registration process (including registration system authorization per course when necessary).
  • Monitor students advising requirements: Notify students and faculty advisors when certain conditions have or have not been met.
  • Maintain accurate and complete student files.
  • Meet with students as needed. Preparation includes but not limited to, reviewing all accessible academic records for accuracy and appropriateness of course work, communicating with academic department for program-specific course substitutions and coordinating with the College of Graduate Studies (CGS) to have approved courses posted on student’s record.

Operations – Degree Clearance Duties

  • Pre-clear and clear students for graduation. This process includes checking that degree plans are accurate, correct courses are applied to plans, GPA requirements are met, and any other programs specific requirements are confirmed. Collaborate with CGS regarding monitoring student progress to degree and graduation clearance.
  • Maintain SEP (student education plans) within DegreeWorks. Test as needed for catalog and program changes.
  • Attend college and university graduation ceremonies each semester.

Program Management – Outreach and Retention Initiatives

  • Track student progress and provide appropriate interventions and contacts to help students be successful.
  • Reach out to graduate students who may need additional assistance (e.g., have low GPA, need to register, assist with holds, have been placed on scholastic probation).
  • Document all outreach contacts to meet institutional guidelines and support advising activities.
  • Process various academic forms and follow up on completed forms to ensure student’s record accurately represents the student’s chosen program, concentration(s), and catalog year.
  • Coordinate with administrators, faculty, staff, students, and other involved constituents concerning advisees and program requirements. Track and obtain documents needed for graduate students from other departments on campus.
  • Prepare reports or provide input regarding university requirements and policies when requested. Keep all degree plans, guidelines, email, and formal letters up to date.
  • Maintain graduate academic advisor manual and lists of faculty advisors. Communicate advising, program, and respective college updates to College of Graduate Studies and, in consultation with College of Graduate Studies, address needed changes to program websites.
  • Work with the College of Graduate Studies and the Associate Dean of respective college on student issues and challenges, including probation, suspension, and retention. Serve as liaison to the Office of Admissions and Records, respective college department chairs, graduate program coordinators, and Associate Dean. Represent the College of Graduate Studies at university-wide meetings.
  • Stay apprised of curriculum changes that will impact the graduate student population and assist the respective Associate Dean in informing faculty and graduate coordinators of any catalog changes that may affect students in programs.

Other

  • Handle student paperwork with utmost confidentiality.
  • Support respective college and College of Graduate Studies activities and events (e.g., orientation, professional development, graduation).
  • Attend and participate in College of Graduate Studies and respective college meetings as applicable.
  • Attend and participate in training and professional development events.
    Perform other duties as assigned.

QUALIFICATIONS
Level II

  • Bachelor’s degree
  • Two (2) years of related experience in advising or working with students in higher education.

Level III

  • Bachelor’s degree
  • Four (4) years of related experience in advising or working with students in higher education.
  • Additional experience or education can be used as substitution:
    • Associate’s Degree & 6 years of experience
    • Bachelor’s Degree & 4 years of experience
    • Master’s Degree & 2 years of experience

OTHER REQUIREMENTS

  • Knowledge of skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), databases, and spreadsheets.
  • Knowledge of student information systems, degree planning and degree audits
  • Excellent listening, written, and verbal communication skills.
  • Ability and willingness to work as a team member and to work independently.
  • Ability to work with sensitive information and maintain confidentiality
  • Demonstrated initiative and follow-through skills; tact, diplomacy, and judgment in dealing with students, parents, faculty, and administrators.
  • Ability to multitask and work cooperatively with others. Ability to present information clearly and concisely.
  • Detail-oriented and demonstrated ability to multi-task in a fast-paced environment.
  • Ability to work outside normal business hours and work weekends as needed.

PREFERRED QUALIFICATIONS

  • Master’s degree
  • Four (4) years of related experience in advising or working with students in higher education
  • Experience with student information systems such as Banner, DegreeWorks, Argos, and Laserfiche.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), databases, and spreadsheets.

SALARY
$36,512- $44,904/Annual
