Summary of Work:
The Director, Residency Advising & Match Services
directs the strategic, operational, and student advising functions of the team supporting the students’ professional and career
development from matriculation through graduation. The Director supervises the student support services team responsible
for:
- Providing confidential counseling and career advising to students across all years and three
campuses; - Aggregating student records and evaluation data to create personalized MSPEs;
- Managing the institutional and
student operational use of ERAS; - Tracking and reporting on student progress and outcomes towards GME placement and success. Works closely with key academic and partner leaders to identify, create and implement
effective and efficient strategies and operational models to meet career advising and residency placement needs of HCOM students. - Drafts, develops and advises college leadership on residency placement policies informed by
evolving NRMP guidelines, emerging national GME trends, and operational/legal
considerations. - Participates in national working groups lending voice and representation to the national dialogue exploring evolving
GME trends, policies and best practices.
Primary
Accountabilities:
Career and Professional Advising Strategy &
Planning:
- Provide strategic and operational oversight of the processes, communications and student services team
advising and supporting students on specialty choice and application strategies towards successful GME placement
outcomes.
- Coordinates and directs the multidisciplinary team of clinical and non-clinical entities to enhance specialty
career choice and advising support leading up to the match. Develops and delivers training related to current residency policies and
protocol, and the latest changes to the Electronic Residency Application System (ERAS) application process, for
the interdisciplinary team to assist in student professional career development and specialty discernment.
- Identifies and
counsels high-risk students who may require special support (expected or actual academic difficulty, competitive specialty choice, early
match, couples match, military) to develop customized plans working collaboratively with appropriate college professionals across multiple
departments when needed.
- Manages and monitors student competency issues working collaboratively with college leaders and
the Senior Director of Student Affairs to create action plans for high at-risk students.
- Monitors national landscape and
advises college leadership regarding changes to national policies and procedures that impact residency matching, including but not limited
to, the NRMP match and SOAP process, SF Match, Military Match, as well as ERAS system policies.
Supervision of Operations and Workflow
- Directly
supervises the positions responsible for career advising, the generation of MSPEs, the ERAS system process and the
VSLO process. Indirectly supervises one student worker who supports the ERAS
process. - Supervises staff and workflow processes responsible for the research, writing and production of the MSPE for each graduating student. This includes the development of processes for the drafting and flow of MSPEs and
application materials for fellowship training and applicants who re-enter the match following their initial match. Responsibilities which
must be supervised include: tracking written requests for letters, conducting a final review of the draft for Dean’s signature, updating
MSPEs upon each request, maintaining copies of MSPEs and requests in student/graduate’s file, managing the flow of documents (application,
transcript, letters of recommendation, photographs, etc.) for ERAS, staying abreast of changes in the ERAS system, drafting communication for students and graduates concerning the generation and mailing/uploading of MSPEs.
These responsibilities occur throughout the year with the heaviest activity in summer and fall.
Career and Residency
Program Development, Research & Assessment
- Develops and assesses career and residency programming for all students
across the Heritage College. Directs, implements, and participates in the delivery of the career advising programming (including management
of AAMC Careers in Medicine) to assist students in specialty choices and residency application strategy. This
involves educational program planning, working with faculty to contribute their knowledge to the students, producing the public
communications for advising workshops and events, evaluating the programming, and recommending changes consistent with national best
practices. On-going throughout the year. - Researches, adopts, and incorporates best practices and processes for implementation of
advising and student support programming in the area of career and professional development. - Assesses career readiness programming
offered by the college and implements improvements as necessary. - Researches national best practices and develops educationally and
topically relevant workshops for staff and faculty regarding residency processes that impact students.
Stakeholder
Collaboration
- Cultivates, develops and maintains collaborative working relationships with College deans, clinical
campus leadership, faculty and staff to facilitate advising, academic progress review, and career and professional development for all
students. - Develops and delivers training related to current residency policies and protocol for clinical faculty to assist in
student professional career development and specialty discernment.
Interfaces with affiliated faculty and program directors to procure
up-to-date information regarding the status of the match process, including information relevant to the various specific
specialties. - Participates in annual site visits for clinical campuses and keep records of student support and
concerns. - Participates in national working groups and seeks opportunities to present at national conferences lending voice and
representation to the national dialogue exploring evolving GME trends and practices

Pay Rate: Minimum salary
is $68,299, with salary being commensurate with education and experience, while also considering internal equity.
