Job Description

This Office Coordinator
at La Casita Cultural Center is responsible for coordinating and tracking student engagement. This staff member ensures compliance with Risk
Management requirements, including background checks and clearance to work with minors. They register all youth programs and program
participants with the office of Risk Management, while also assisting with event planning, space reservations, catering, and purchasing
supplies. Additionally, this staff member will coordinate IT and maintenance services. Other duties as
needed.

Qualifications

  • Bachelor’s degree or associate degree, or equivalent in experience in a
    relevant field such as business administration, communications, or event management, or an equivalent combination of education and
    experience.
  • The candidate must have demonstrated proficiency in using Qualtrics or similar survey platforms for survey design, data
    collection, and analysis.
  • Experience in office administration, event coordination, and data management is required. Proficiency in
    using Microsoft Office Suite, including Excel for spreadsheet management, is also essential. Relevant certifications or training in event
    planning, data analysis, or risk management would be beneficial.

Job Specific Qualifications

  • Proficiency in Qualtrics or similar survey platforms for survey design, data collection, & analysis.
  • Strong understanding of
    office administration procedures & best practices.
  • Knowledge of event coordination principles & practices.
  • Familiarity with
    Microsoft Excel.
  •  Understanding of risk management requirements, including background checks and compliance with regulations for
    working with minors.
  •  Knowledge of procurement processes for purchasing office and programming supplies.
  • Excellent
    organizational skills to manage multiple tasks, prioritize responsibilities, and meet deadlines.
  • Attention to detail and accuracy in
    data entry, record-keeping, and reporting.
  • Strong communication skills, both written and verbal, for effective interaction with
    program participants, colleagues, and external stakeholders.
  •  Ability to work independently and collaboratively in a team-based
    environment.
  • Problem-solving skills to address challenges and find creative solutions.
  • Strong interpersonal skills to build
    positive relationships with diverse individuals and groups.
  • Flexibility and adaptability to handle changing priorities and
    unexpected situations.
  • Strong customer service orientation to provide support and assistance to program participants and
    visitors.

Responsibilities

Manage Qualtrics system surveys and
database:
 

  • This involves designing and distributing surveys using the Qualtrics platform, collecting and analyzing
    data, maintaining the survey database, and generating reports. This task ensures effective data collection and analysis to inform yearly
    reports to the Office of Academic Affairs.

Manage risk management compliance: 

  • Facilitate
    compliance with risk management requirements, including background checks and clearance to work with minors. This task ensures the safety
    and security of program participants and adherence to legal and ethical standards.

Coordinate event
planning:
 

  • Assist in planning and coordinating events, including space reservations, catering arrangements, and
    logistical support. This responsibility ensures successful event execution, fostering a positive and engaging environment for program
    participants.

Maintain Excel spreadsheets: 

  • Create and update Excel spreadsheets to track
    student engagement and program-related data such as participant information, attendance records, and program evaluation results. This
    responsibility ensures accurate and organized data management for reporting and program evaluation purposes.

Oversee
enrollment records:
 

  • Maintain and update enrollment records for youth programs, ensuring accurate and up-to-date
    information. This task is crucial for program planning, participant communication, and compliance purposes.
