Schedule:   Full time Shift :  Days Location:   AdventHealth 1035 RED BUD RD NE, Calhoun, 30701 The role you’ll contribute: The Administrative Director of Clinic Operations (AD) is responsible for developing and leading a highly motivated team of healthcare professionals to ensure overall superior operations success for Gordon Physicians Group. The AD leads and directs all aspects of clinic operations, and supports revenue cycle functions, as well as Quality and Service Excellence initiatives.   The position requires a high degree of independence, initiative, judgment and follow-through on a wide range of sensitive and complex issues. The value you’ll bring to the team: SHARE – Customer Satisfaction Reviews the Press-Ganey satisfaction results with staff at monthly staff meetings. Discusses ways in which the employees can contribute to patient satisfaction.

  Financial Management Reviews monthly departmental financial statements and research material variances to budget and prior period. Communication with Employees Conducts monthly departmental meetings documenting names of persons in attendance and minutes of discussion.   Appoints a departmental representative to serve as Secretary for minutes.   Assures persons not in attendance have access to review meeting minutes. Regulatory Compliance Complies with THC (The Joint Commission) and AOA (American Osteopathic Association) standards to ensure the hospital maintains accreditation where warranted. Complies with CMS (Center for Medicare/Medicaid Services) Conditions of Participation to ensure appropriate reimbursement. Human Resources Works with Employment Recruiter for staffing, which may include:   Selection/Screening, Interviews, and Reference Checks. Ensures employees are orientated within Gordon Hospital and their respective department, as well as reviewing employee’s job description. Marketing Works with Marketing to create overall marketing plan for individual services, providers, and the service line. Facilitates meetings and “meet and greets” with providers and staff of surgery clinics with referral sources, community, and other stakeholders.

Strategic Development Creates and implements strategic development for the growth and maintenance of the service line. Performs data analytics to ensure efficient operations, growth, and quality care. Clinical liaison Serves as liaison between clinic, providers, and hospital. Supervises compliance of clinical programs for clinic in conjunction with hospital metrics; including: SSI (surgical site infections), MACRA, PQRS, readmission rates, etc.    Employee Competency Provides an initial orientation for new employees upon hire. Provides a 90-day competency evaluation for all new hires. Provides an annual evaluation of competency based on job performance. Conforms to GH Policies and Procedures Ensures that departmental staff complies with Gordon Hospital’s hospital-wide policies, as well as, departmental policies. Performance Improvement Selects not less than one (1) PI project for the year and completes documentation. Involves staff in the Performance Improvement process.

·          Oversees the day-to-day operations for anesthesia, primary care, specialty, surgical and urgent care practices. ·          Provides guidance and support to directors of operations and clinic managers.   ·          Implements, manages and evaluates operations processes and procedures, in accordance with the standards and procedures set out by the organization ·          Leads in developing strategies and implementing process improvement plans to improve and standardize all aspects of operations ·          Aligns operational initiatives with Gordon Physician Group strategic vision of assigned practices to promote overall growth and development and to ensure fiscal, quality and patient satisfaction results. ·          Establish a strong working relationship with al practices as well as other administrative and support teams. ·          Work to create an environment of efficient practice operations in cooperation with the appropriate support systems to provide timely and accurate information as needed. ·          Works with Adventist Health System Physician Enterprise to address issues as they relate to physician practice operation while ensuring compliance with any corporate directives that are created. ·          Maintain working knowledge of industry trends, legislation and regulatory standards as related to practice operations. ·          Determines fiscal requirements and assists in the preparation of annual budgets and strives to meet expense expectations. ·          Review and evaluate the performance of all practices and provide relevant information to Associate Vice President. ·          Responsible for ensuring the consistent and appropriate interpretation, evaluation and application of the policies and procedures of Gordon Physician Group.

·          Promotes and develops effective and efficient communication strategies in order to promote a positive work environment and optimal operational workflow. ·          Maintains a process of consistent accountability by providing effective leadership and direction to manages and staff as well as promoting effective customer service strategies. ·          Aligns with peers to identify challenges in the environment, opportunities for improvement and items requiring the intervention as appropriate. ·          Proactively facilitates and manages changes to foster employee and leadership acceptance and support. ·          Provides for a safe environment for the delivery of patient care through practice rounds, inventory control, and equipment checks. Deficiencies are promptly corrected through service calls and other appropriate channels ·          Monitors and maintains Joint Commission Compliance within assigned practices—logs, appropriate documentation, etc. ·          Provides specific feedback on the annual evaluation to clinic manager as to his or her contribution to patient satisfaction. Sets specific goals for employees scoring satisfactory or lower. ·          Conducts monthly departmental meetings documenting names of persons in attendance and minutes of discussion. With a minimum of 10 meetings held each year.

Appoints a departmental representative to serve as Secretary for minutes. Secretary and Director of Operations sign a copy of the minutes for internal record. Ensures persons not in attendance have access to review meeting minutes. ·          Ensures clinic managers are orientated within Gordon Hospital and their respective practice, as well as for reviewing and updating clinic manager job descriptions. ·          Provides an initial orientation for new employees upon hire or ensures that one is provided depending on position. ·          Works with clinic managers to change competency evaluations as needed when new services provided, new job responsibilities or if clinical changes occur (new treatment, procedures, equipment, standard of care changes, new regulatory policy) ·          Ensures, through evaluation process, that clinic managers are competent to do the job for which they were hired. ·          Ensures that departmental staff complies with Gordon Hospital’s hospital-wide policies, as well as, departmental policies. ·          Ensures therapeutic and diagnostic measures are safely administered as prescribed by the physician and Administration, either directly or through delegation. ·          Ensures medical records are maintained with respect to patient confidentiality, security and completeness. ·          Regularly assists clinic managers in reviews of billing practices to assure physician and office reimbursement is appropriate.

·          Uses progressive counseling to develop or discipline employees as necessary. ·          Ensures training and in-depth knowledge of new hires and current personnel. ·          Provides direct marketing on behalf of clinics making rounds to other physician offices, visiting occupational entities ·          Completes other duties as assigned Qualifications The expertise and experiences you’ll need to succeed : Minimum qualifications: ·          Must have knowledge of TJC and state regulations.   ·          The diversity and difficulties of the duties may be performed intermittently; therefore total proficiency will be achieved through the normal work routine over a one year period. ·          Five years of management experience in a group practice environment.   ·          Proven track record in healthcare operations management and effective physician relationships. Preferred qualifications: ·          Bachelor’s degree in business administration or healthcare related field or equivalent work experience required.
