JOB DESCRIPTION:
Reporting to the Director of the J.D. Power Center, the Assistant Director is essential to the day-to-day operations of the Center, playing a leadership role in vital programs, developing and deploying assessment tools, developing and executing long term strategies for maximizing the Center’s resources, using data to understand how students use the Center’s programs, advising students, managing budgets, coordinating the Center’s media strategy, providing support for public programs and outreach efforts, and managing specialized technical systems.
Program Administration
- Research Associates (RA) Program
- Recruit and counsel faculty applicants and grant recipients for the RA Program
- Coordinate application and selection process for the RA Program
- Recruit and maintain student pool
- Educate students and faculty about program details
- Monitor student work
- Communicating with faculty and students throughout the semester to remind them of upcoming deadlines and program details.
- Tracking student hours and payment.
- Tracking overall program budget
Experiential Learning Partial Credit (ELPC) Transcript Notation
- Promote ELPC Transcript Notation to students
- Monitor and administer application process
- Confirm student adherence to requirements
- Coordinate with Registrar’s Office to ensure accurate recording of Transcript Notations
Academic Internship Program (AIP)
- Promote the Academic Internship Program and recruit student participants.
- Coordinate the AIP application process and work closely with the J.D. Power Center Director on decision-making and with the Semester Programs Coordinator on distribution of permission codes.
- Communicate with AIP students about application decisions and internship data submission via Handshake.
- Communicate with supervisors about the program (including upcoming breaks and evaluation deadlines).
- Update the AIP Student and Supervisor Handbooks and distribute.
- Assist AIP faculty as needed with technology.
- Coordinate Student Evaluations and Assessment for the Academic Internship Program, Washington Semester Program, Experiential Learning Partial Credit, and Community-Based Learning.
- Oversee administration of all student evaluations and assessments for J.D. Power Center evaluation programs, chiefly through Qualtrics or comparable software platforms
- Serve as point person for students and internship supervisors with questions about evaluation processes
- Coordinate with other offices on campus to ensure comparability of evaluation processes across campus
- Provide analysis of evaluation and assessment results each semester
- Distribute evaluation and assessment results to students and colleagues as relevant.
- Coordinate travel for students participating in Community-Based Learning and AIP in conjunction with the Transportation Office.
- Work with DC Director and JDPC Director to ensure program handbooks are updated each semester.
- Develop student programming in collaboration with other colleagues and student leaders in the J.D. Power Center
- Serve on the Ignite Fund and Marshall Fund selection committees.
- Represent the J.D. Power Center at campus meetings and events (i.e., community engagement committee meetings).
Data Management
- Coordinate and manage collection of applications, information, data, and records associated with the Center including: applications, supervisor evaluations, student surveys, registration and liability waivers, transportation requests, student contacts and student participation. Utilize Handshake as needed for tracking internship sites.
- Maintain familiarity with relevant software for potential new approaches to data collection and analysis.
- Analyze data to provide insights on operations across all Center programs with particular attention to demographic breakdowns.
Marketing & Publicity
- Help coordinate publicity efforts to increase visibility and attendance across print, web, social media and other channels
- Serve as liaison with College Marketing and Communications office, particularly for purposes of ensuring coverage of Center activities on College media channels
- Schedule and attend information sessions for the Academic Internship Program.
- Assist in maintaining and updating the Center section of the Holy Cross website
- Coordinate the production of marketing material and distribution to identified target audiences internally and externally
- Help build and maintain Center email list and a newsletter
- Develop content and manage presence on various social media platforms, including Twitter, Facebook, Instagram, and MyHC.
- Serve as chief administrator of the Center blog, including writing, posting, maintaining blog posts, and recruiting writers for other posts
Student Advising
- Advise students individually about programs within the Center and help them to determine which programs might be the best fit for their interests.
- Attend events to promote J.D. Power Center opportunities to students (i.e., Admission events, Center for Career Development Events, Orientation Events, and 2YO).
- Recruit, coordinate, and advise J.D. Power Center Ambassadors
- Other duties as assigned.
REQUIREMENTS:
- Bachelor’s degree
- High level of interest in experiential learning
- Effective project management skills and ability to multi-task
- Exceptional communication skills with a variety of audiences (faculty, students, staff, and community partners).
- Demonstrated ability to write clear, engaging and compelling copy in a variety of styles, as well as editing and proofreading skills
- Ability to manage and organize large quantities of detailed information;
- Flexibility and dependability; Calm and professional in changing circumstances;
- Facility in navigating specialized data management software such as Qualtrics and Handshake.
- Facility with using Excel as a data management tool
- Proven ability to organize, solve problems and complete projects with minimal supervision.
- Ability to work collaboratively as part of a team.
- Competence with Microsoft Office and Google Apps (Gmail, Google Drive, , Google Sheets, and Google Docs) required; experience with web content management software, Canva, and Adobe Pro. desired.
- Knowledge and experience with a variety of social media platforms
- Must be able to work occasional evenings and weekends
