JOB DESCRIPTION:
- Assists in directing the strategic planning, development, and implementation of programs.
- Represents the organization at meetings, conferences and other events.
- May develop and present speeches or presentations to generate or enhance awareness of program(s).
- Provides technical support by evaluating established processes, conducting training, attending operational meetings and networking with affiliated groups.
- Monitors progress toward achieving established objectives and deadlines.
- Participates in planning, administering and monitoring program related budgets.
- Conducts research, designs new initiatives, and collaborates with others to ensure program(s) remain viable.
- May serve on, hold office in, or chair committees.
- May write publishable articles and papers.
- May supervise staff.
- Oversees or assists in developing operational and statistical reports for management and regulatory agencies.
- Ensures required records and documentation are maintained.
- Performs related responsibilities as required.
ADDITIONAL JOB DETAILS:
- The Assistant Director for Academic Affairs position is located in the Office for Undergraduate Education in Emory College.
- The Assistant Director will support programs and initiatives related to undergraduate academic affairs.
- Reporting to an associate dean, the Assistant Director will oversee processes related to curriculum, including the course and major/minor approval process, while supporting the Curriculum and Educational Policy Committee.
- The Assistant Director will create resources and training for faculty and departments on matters related to undergraduate academic affairs and organize meetings of DUSs and undergraduate program staff.
- The Assistant Director will also collaborate with deans and directors to organize the work of the Academic Programs and Faculty Partnerships group within OUE and will work on special projects as needed.
Course Proposal Management (25%)
- Organizes the administrative review committee that approves courses.
- Communicates with faculty and departments about committee decisions and requests for additional information.
- Shares information with Registrar and other university offices.
- Performs similar tasks for the Race & Ethnicity committee.
- Maintains required documentation.
- Proposes and makes changes to processes to increase efficiency and accuracy.
Curriculum & Educational Policy Support (25%)
- Organizes the meetings of the CEP.
- Prepares materials for faculty review and letters communicating decisions.
- Organizes the petition process for Experience and Application.
- Communicates changes in programs and policies to web-team for Catalog, Registrar, and other parties as needed.
Department/Faculty Resources (20%)
- Organizes meetings of the Directors of Undergraduate Studies and Undergraduate Program Coordinators.
- Reviews and updates the DUS Handbook.
- Facilitates trainings and workshops on curriculum and related matters.
- Assists in training of new instructors on undergraduate education and policies.
- Develops resources for faculty and departments.
- Oversees and updates OUE faculty resources website and calendars.
Academic Programs and Faculty Partnerships (20%)
- Assists faculty-facing deans in organizing and facilitating the work and strategic direction of APFP.
- Manages sharepoint for collaborative work and documentation of APFP staff group.
- Organizes Annual Retreat.
- Organizes biennial administrative unit assessment effort.
- Orchestrates Standard Operating Procedures annual project for group.
- Completes financial transactions for APFP programs as needed.
Special Projects (10%)
- Collaborates with faculty committee that runs Phi Beta Kappa honor society to organize selection, initiation, and budget.
- Assists Associate Dean with award selection, drafting of biographies and presentations, and other items related to Commencement and the Honors Ceremony.
- Engages in special projects and initiatives in collaboration with the two faculty-facing deans.
- Organizes meetings and calendar for special meetings, working groups, and committees.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in a field related to the program(s) and five years of program related experience, OR equivalent combination of experience, education, and training.
PREFERRED QUALIFICATIONS:
- Master’s degree preferred.
