The Clinic Operations Manager is a leadership position working in close collaboration with the clinic site Medical Director and clinic site Nurse Manager to provide aligned leadership direction for the clinic. The Clinic Operations Manager has direct responsibility for the daily operations that support the delivery of safe, efficient, and effective care to adult oncology and hematology patients and their families in a hospital-based, ambulatory oncology clinic. The Clinic Operations Manager is responsible for the administrative functions for the site, including patient access and scheduling, front desk operations, revenue cycle, facilities, and supply chain management. The Clinic Operations Managers also partners closely with Security to ensure safety and security are part of the strategic plan and day to day operations of the clinic. The Clinic Operations Manager is a strong and collaborative people leader, as well as critical thinker who uses theoretical, evidence based, and experiential knowledge to advance the community oncology practice, formulates and implements strategy and goals for the clinic, and participates in process improvement efforts. This leadership position collaborates with medical and nursing leaders, peers, and colleagues at other Fred Hutch Cancer Center locations as well as partner institutions (e. g. , University of Washington Medical Center) and community hospital partners and service providers, to assure the provision of efficient, effective, high quality, patient and family-centered care in an environment that facilitates the conduct of clinical research.

The Clinic Operations Manager works in situations that require decision-making, analysis, policy and program development, and problem resolution. Responsibilities Directly responsible for the overall operational and administrative activities of the clinics including but not limited to administrative staffing, patient access, scheduling, financial authorizations, charge capture, facilities and equipment readiness, and supply chain adequacy. In partnership with medical and nursing leadership and key Fred Hutch stakeholders, builds an aligned leadership plan for the site that each of the three leadership areas can then lead directly within their direct reporting teams. Ensures adequacy of daily clinic staffing by bringing together stakeholders from medical practice, nursing, pharmacy, HIM, and radiation oncology to coordinate. Directly manages administrative support team and their employees in Patient Access, Patient Financial Services, and Schedulers. Responsible for people management and leadership within operations and administrative lines of reporting, including hiring, developing, performance managing, disciplinary action, and separations as needed. Prepares and regularly monitors the clinic operating budget. Analyzes financial impact of operational performance and implements measures to address performance variances. Coordinate revenue cycle activities relevant to the clinic and in partnership with Fred Hutch departmental stakeholders for charge capture, coding, and financial authorization of medications and patient services. In partnership with medical and nursing Leadership and key Fred Hutch stakeholders, develop annual departmental goals and implement related initiatives that align with Fred Hutch organizational goals and strategy Assist in long-term planning project/program coordination including anticipation of staff and space needs and changes in procedures, equipment, and technology.

Establish measures to ensure that administrative staff adhere to Fred Hutch and departmental policies and procedures and adhere to Fred Hutch Integrity at Work Statement and Code of Conduct. Develop and implement opportunities for staff to maintain and improve individual skills and competencies. Qualifications Required for the job: Bachelor’s Degree in Health Care Administration, Business Administration, or related field 5+ years operations experience including 2+ years supervisory experience in healthcare Ability to manage and lead in a busy ambulatory care setting with multiple and competing demands for time and resources Excellent interpersonal skills Works well with team members toward a common purpose; reinforces the efforts and goals of the work group; supports the team’s decisions regardless of individual viewpoint Sound fiscal management skills including budget preparation, monitoring and management Excellent skills in critical thinking, problem solving, conflict resolution and ability to make independent decisions Demonstrates good customer relations skills Preferred for this job: Master’s Degree in Health Care Administration, Business Administration, or related field Oncology experience Previous Project Management role or experience Possesses working knowledge of financial processes, including budget preparation and asset management This position is patient facing and/or requires access to Fred Hutch clinical facilities. As such, full COVID-19 vaccination is required as a condition of employment, without exception. Booster doses are strongly recommended but not required. The annual base salary range for this position is from $101,359 to $160,213 and pay offered will be based on experience and qualifications.
