Valhalla, New York, Job Summary: The Department Coordinator will support the Chairman/ Director with his academic and administrative needs and assist the other Pain Management attendings with their programing needs. The Department Coordinator will also coordinate the daily activities for the Department of Pain Management. Responsibilities: Scheduling, meetings, coordinate with practice schedules, booking conference rooms, setting up teleconferences and preparation of materials and binders. Keeping up with ordering of supplies for administrative office and fellows. Coordination of the daily activities for the Department of Pain Management. Recruitment effort of the department including interview arrangement, credentialing and onboarding. Overseeing and maintaining inventory levels in the procedural and clinic space. Helping to collaborate with referring physicians Coordinate Trainees on Pain Management Rotation(s) [NYMC students MSII, MSIV elective, Anesthesia Residents, Anesthesia Fellows, IM residents, Psych Residents, Radiology residents etc] Maximize electronic Healthcare record for efficiency and billing interact with patients and address to complaints or testimonies for marketing Daily Census updates. Keep attending and fellow state licenses (eg. DEA) up to date.

Save and organize CME credits on share drive. Order office supplies through Staples. Pantry items bought with petty cash/departmental funds. Assistant to the department physicians. Keep all calendars, passwords and memberships up to date. Schedule/Coordinate all meetings. A/V support for virtual meetings. WMC Travel Expenses. Catering requests. Reimbursements for Licenses, conferences, memberships etc.

: “Travel and Expense Reimbursement Form” needs to be filled out and sent to manager. Work on coverage (Inpatient, Consult, and Outpatient) schedule with physicians. Monthly Pain Management meeting scheduling and minutes. Maintain relevant metric reports as defined by attendings and administration. Qualifications/Requirements: Experience: 1-2 years in administration, required. Education: Associate’s degree, required. BS/ BA, preferred.
