Dallas, Texas, JOB SUMMARY The Graduate Medical Education Program Administrator 1 works in partnership with the Program Director (PD) and the GME Office to provide coordination of the GME training program. This position is accountable for all administrative help duties required of the GME Office, the Program Director (PD), Associate Program Director (APD), and residents/fellows. This position is accountable for compliance monitoring in accordance with the Accreditation Council for Graduate Medical Education (ACGME), or other accrediting bodies, the supervising authorities of the Specialty, and BSWH. ESSENTIAL FUNCTIONS OF THE ROLE Ensures all incoming residents/fellows are ready to begin their clinical training by the beginning of their first rotation, while working cohesively with the GME Office in getting all HR, Employee Health, Texas Medical Board (TMB) and other on-boarding documents completed in a timely manner. Serves as a liaison between both internal and external agencies in reaching compliance of the on-boarding process. Maintains recruiting efforts of incoming residents and fellows by reviewing applications; submits invitations of interview, creates interview schedules and communicates with applicants. Maintains website, and assists in the matching process by working collaboratively with the program director in the creation and finalization of the rank order list, as well as obtaining match results when published. Monitors the GME Program budget and adheres to all institutional policies regarding travel and business expenses. Serve as the purchaser for the program ordering supplies as needed. Process invoices for payment.

Performs administrative tasks for the training program including assisting the Program Director, Associate Program Director and the residents/fellows. This may include managing conference schedules, practice oral exams, in-training exams, program committee meetings, recording Minutes. Works with the Program Director and the GME Office to ensure all programs remain in compliance with accreditation board, [Sub] Specialty Board, and BSWH requirements. If applicable ensure Accreditation Council for Graduate Medical Education (ACGME) WebADS are current at all times, compliance of Residency Review Committee (RRC) Faculty and Resident Surveys, Milestone Reporting and any other ACGME related tasks. Enters all residents/fellows into the residency management suite. Adheres to GME Office procedure for required documentation entered into the system. Must ensure that all residents duty hours are approved and any duty hour violations are address appropriately. Be an active participant during GME Team Huddles. KEY SUCCESS FACTORS Exceptional interpersonal and communication skills. Ability to communicate courteously and professionally in all forms of communication.

Ability to multi-task while being organized. Proficient in ERAS (Electronic Residency Application System) and NRMP (National Resident Matching Program). Ability to work autonomously, independently and be a self-starter. Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, Access, Teams, Etc). Be willing to learn and become proficient in using other software programs.
