Job Summary:

The Graduate Program Manager in the Department of Medical Physics manages the administrative activities of the Medical Physics graduate program, including a T32 training grant, and a post graduate Imaging Residency program. The graduate program consists of approximately 100 students who are pursuing a PhD in Medical Physics and a smaller cohort pursuing a Master’s degree. The residency program is comprised of two residents who each complete a two-year residency via one-on-one mentoring with faculty.

This position’s responsibilities include recruitment, admissions, new student orientation, academic advising, monitoring of progress towards the degree or residency, course and/or enrollment management, diversity, equity and inclusion initiatives, funding, course and/or program assessment, and academic program review, and providing students with assistance in their path to degree completion. In collaboration with program directors this person assists with developing procedures and priorities for the programs, coordinating overall direction to improve effectiveness and quality of programs, scheduling and organizing committee meetings including agendas and minutes, tracking program outcomes, planning events (examples include open house, T32 symposium, graduate student poster presentation, and summer research program), providing administrative support, and resolving concerns as needed. This position also serves as the administrative coordinator and manager for the department’s T32 grant.

Successful applicants will demonstrate an ability to work both independently with little oversight as well as cooperatively with members of the department, SMPH, Graduate School, as well as other programs. This position plays a very visible key role for the department.

Responsibilities:

Manages the administrative activities of graduate degree program(s) and/or certificate(s). Performs activities which may include: recruitment, admissions, new student orientation, academic advising, monitoring of progress towards the degree, course and/or enrollment management, diversity, equity and inclusion initiatives, funding, course and/or program assessment, and academic program review. May oversee staff and/or graduate program functions.

  • 20% Serves as the expert resource for applicants, current students, faculty, staff, and other stakeholders of an academic program
  • 10% Manages the response, support, and advocacy for graduate students while continuously improving the student experience and overall graduate program
  • 15% Oversees programming, services, and events to promote professional development and academic success
  • 20% Provides comprehensive advising services promoting graduate student success, retention, and degree completion. Advises on programs, graduate education, and university policies, processes, and procedures. Monitors degree progress and assists students in navigating resources and systems throughout the student lifecycle from matriculation to degree completion
  • 15% Manages graduate student funding including, but not limited to, fellowships, scholarships, training grants, or assistantships from department, university, and/or outside sponsors. May prepare and/or submit funding proposals
  • 5% Maintains compliance with graduate program(s), school/college, and university requirements and technology systems related to admissions, assessment, academic degree progress/requirements, and program review. Makes policy and procedure recommendations and/or changes
  • 15% Coordinates and manages administration of the Imaging Medical Physics Residency Program

Qualifications:

Required:
* Minimum one year of experience working in higher education administration and/or student services
* Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
* Excellent written and verbal communication skills

Preferred:
* Experience working in an academic department that contains a graduate program strongly preferred
* Ability to manage multiple projects and deadlines in a fast-paced environment, prioritize tasks and work collaboratively with students, faculty, and staff
* Experience with various software programs including UW specific systems and others. (Ex.: Microsoft 365, Canvas, Applicant Review, Lumen, SIS, Grad Portal, AERIS, WISER eRACommons, xTract)
* Ability to run reports, organize and analyze data
* Basic financial skills
* Excellent problem-solving skills and independence in decision making

Work Type:

Full Time: 100%

This position requires work to be performed in-person, onsite, at a designated campus location the majority of time, with an option for occasional remote work, at an offsite, non-campus location.
