The Learning Commons fulfills its mission by offering academic programs intended to support student success and
growth as learners, enrich students’ intellectual and cultural experiences, and provide opportunities for educational leadership
development. This unit is responsible for the undergraduate academic tutoring enterprise, including the new EXCELlence in STEM program, the
Center for Achievement, Retention, and Student Success (CARSS), University Tutoring, NetTutor, Supplemental Instruction and coordination of
department tutoring and academic supports.
The University at Albany’s Learning Commons, which includes the HHMI EXCELlence in STEM
program and the Center for Achievement, Retention, and Student Success (CARSS), is seeking a full-time Instructional Support Associate for
student tutoring and academic program support. The Instructional Support Associate will manage the day-to-day operations of the Learning
Commons, deliver skilled, specialized support for the Director, Program Coordinator, and Graduate Assistant tutors in myriad tasks, and
provide assistance to faculty, staff, students, and other Learning Commons constituencies. They must be creative and innovative in the
implementation of their responsibilities and must demonstrate a high level of professionalism and sensitivity, particularly as related to
matters of diversity and inclusion.
Primary Responsibilities:
- Instructional Support
- Develop and maintain an up-to-date tutoring portfolio for the Learning Commons, including scheduling all study group sessions.
- Work with faculty and tutors to design tutoring information documents.
- Process registrations for study group sessions on a
weekly basis; actively engage the wait list for each session and move students into open spaces from the wait lists, ensuring maximum
participation in each study group session and maintaining daily attendance for all study group sessions. - Work with faculty to
secure syllabi; organize semester classroom visits; coordinate review sessions before each exam. - Communicate with professors and
all enrolled students prior to each exam with the review session details. - Oversee feedback process including soliciting, recording,
and integrating responsiveness on the part of stakeholders and applying feedback in real-time to improve engagement and outcomes for all
stakeholders. - Marketing and Communications
- Design marketing materials in a format that conveys the depth and
breadth of program offerings while remaining comprehensible for a variety of stakeholders, including prospective and current students and
their parents. - Contribute to and maintain the Learning Commons website pages, working with the Associate Vice Provost, Director,
and Program Coordinator to develop new content and ensure existing content is reviewed periodically and updated as needed. - Disseminate program information and outcomes in multiple formats and venues that may include presentations and tabling at conferences
and other meetings, student events, and events associated with community outreach. - Develop analytic information that will include
programmatic details, persistence statistics, and participation rates and levels that will be shared with faculty, student, and staff
stakeholders, as well as policymakers and colleagues in higher education. - Respond to faculty and student inquiries in a timely
manner. - Engage with Howard Hughes Medical Institute (HHMI) and respond to inquiries about the EXCELlence in STEM program.
- Administrative Support
- Facilitate requests for letters of recommendation from faculty for the tutors.
- Manage office and tutoring space for instructors and staff.
- Participate in and prepare agenda and minutes for Learning Commons
staff meetings. - Oversee maintenance and management of Learning Commons files and records.
- Oversee location, use, and
maintenance of Learning Commons furniture and equipment; develop archival procedures and dispose of old files and records in accordance with
university archival requirements. - Order and complete the purchase of office and tutoring materials, equipment, and
furnishings.
Requirements:
Minimum Qualifications:
- Bachelor’s degree from a college
or university accredited by the US Department of Education or an internationally recognized accrediting organization. - One year of
experience in supporting operations. - Ability to work independently and manage multiple tasks in a challenging environment.
- Demonstrated initiative in the planning and execution of their work.
- Ability to work with a broadly diverse student population
who may be navigating academic difficulties and to foster a supportive environment that helps us recognize and break down barriers to
inclusion. - Ability to facilitate the development of culture change with respect to diversity, equity, and inclusion in STEM.
- Creativity, innovation, and independent decision-making in fulfilling the job duties.
- Excellent communication skills, including
writing and presentation skills. - Experience with Microsoft Office suite
- Excellent organizational skills

Preferred
Qualifications:
- Bachelor of Science degree in a STEM field.
- Experience working in a student-facing academic support
office. - Experience with technological and data systems.
