Summary Position
The Division of Student Life provides premier student-centered services, programs, and experiences that integrate in- and out-of-class learning, promote holistic student development, and facilitate student engagement in a vibrant, supportive residential community. Within the Division of Student Life, this position is part of the Center for Race, Ethnicity, & Diversity Education (CREDE) and reports to Assistant Dean of Students/Director of CREDE.
The Program Assistant is responsible for the overall day-to-day operations of the Center for Race, Ethnicity & Diversity Education (CREDE), providing support for the staff and students within the office. The Program Assistant must be highly organized and efficient with the ability to balance multiple tasks and responsibilities. They must have an acute understanding and passion for building inclusive communities, strong critical thinking skills, the ability to exercise good judgment, and must maintain a high level of discretion and confidentiality. They must always maintain an intense focus on accuracy with excellent written, verbal, and interpersonal communication skills, and the ability to work independently and as part of a team.

1. Office Management
Provide primary administrative and office management support for the director of the department and members of the staff. Duties include opening and closing the office, maintaining a professional work environment, welcoming visitors, managing, and directing phone calls, word processing, spreadsheets, editing, filing, and other tasks as assigned. Serve as front-line staff member for students, staff, faculty, and parents on inquiries related to departmental programs and services and address concerns and needs related to student support, well-being, policies and procedures, and resources.
2. Calendars and Scheduling
Responsible for maintaining calendars for the department director and members of the staff including scheduling appointments, coordinating, and scheduling various committee and group meetings. Coordinate event management logistics for meetings and events, including space reservations, set-up requests, catering orders, and media needs.
3. Financial Processes
Reconcile credit purchases and maintain accurate records of budgets, monitor spending, and regularly reconcile balances for operational accounts. Track and process professional development request and expenses.
4. Personnel Processes
Manage the recruitment, marketing, hiring, training, supervision, and evaluation of student staff providing support and mentorship while encouraging professionalism in the workplace. Contribute to student success by ensuring skills and knowledge gained through student employment connect to classroom learning and future career competencies.
5. Administrative Responsibilities
Prepare communications to students, faculty, staff, and parents using email, Microsoft office applications, and other tools as appropriate. Collaborate and build relationships with campus partners to distribute information as necessary.
6. Other Duties Maintain confidential files and information Support university events, including, but not limited to: Convocations, Commencement, Family Weekend, and events related to Admissions and/or New Student Orientation Serve on university, divisional, or departmental committees, task forces, and search committees.
