The School of Music invites applications for a Program Coordinator II to serve as the primary liaison for the School of Music, representing the School in a wide variety of local, state, regional, and national venues; play a key leadership role in School of Music college-level projects and programs; and is the lead for all School communications. This work encompasses all administrative operations of the school, collaborating with other UM departments/schools/colleges.
Specific duties include, but are not limited to:
- Greet and support students, parents, and others either in person, via telephone, or via email.
- Provide information to potential students, parents, high school teachers and counselors, other campus programs, and School/University leadership.
- Provide clerical support to the director, faculty, and staff.
- Generate, format, and maintain reports, providing complex information to internal and external customers.
- Coordinate events.
- Maintain digital and social media sites.
- Coordinate faculty evaluation process.
- Coordinate graduate school admission process.
- Oversee room scheduling.
- Serve as liaison for building maintenance, including but not limited to, work orders with Facilities Services, maintaining key codes for coded classrooms, updating lists for card swipe entry; locker maintenance; cleaning and updating corkboards; maintaining storage and archive room.
- Assist in maintaining programmatic accreditation.
- Oversee work-study students.
- Order promotional material and supplies.
- Coordinate the advising process.
- Maintain office procedural manual and student handbook.
- Work on the student scholarship processes and procedures.
Required Skills
- Excellent oral and written communication and organizational skills.
- Familiarity with personal computers, related word processing and spreadsheet software (MS Office Suite), the internet, and digital communications.
- Basic knowledge of standard office practices and procedures; excellent business English, spelling, grammar, and composition, with the ability to compose, proofread and edit materials with accuracy.
- Ability to work effectively and communicate with internal and external audiences.
- Demonstrated public relations, interpersonal and communication skills, including the ability to develop and maintain a working relationship with diverse groups.
- Demonstrate teamwork and flexibility.
- Ability to work well under pressure and with interruptions.
- Proven ability to set priorities, delegate tasks, and pay close attention to detail.
- Ability to maintain and/or develop efficient processes to maintain electronic and physical filing systems.
- Ability to synthesize and analyze complex information and discern trends.
- Ability to coordinate inter- and intra-departmental operations and activities.
- Ability to take initiative, work independently and problem-solve, and possess conflict management skills.
Minimum Required Experience
- High School diploma and four (4) years of relevant work experience or an equivalent combination of education and experience.
Preferred Qualifications
- Experience in professional music environments
- Knowledge of UM computer programs such as InfoGriz, UMDW, Banner, CyberBear, UM Scholarship Portal, room scheduling software
- Working knowledge of Microsoft Office Suite

Position Details
Position Title: Program Coordinator II
Position Number: 058400
Department: Music
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.
Salary: $17.085/hr
Union Affiliation: FOCUS-MFPE
Probationary Period: Six months minimum
