SALARY: $83,000 – $107,900+ per year, the posted salary range represents the minimum to the midpoint within RVU’s compensation plan. RVU’s full compensation structure provides a minimum to a maximum range. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials. Primary Purpose The University Registrar is responsible for maintaining a registration and student records operation that is efficient, responsive, data-informed and student-focused. This includes ensuring the integrity of the academic and student information including the collection, handling, storage, and disposal of confidential and official student records, as well as overseeing the student information system as it pertains to student records and registration.
Essential Job Functions
Provide overall leadership and coordination of all areas within the Office of the Registrar including the supervision of the Records Coordinator.
Serves a University-wide role as the primary functional representative for student information system matters – including new configurations within modules, school wide training, communicating with IT staff regarding needs, input on priorities, testing new functions and applications, and managing the student data system’s registration module.
Serves as the ISIS functional lead on data system projects that require data migration from ISIS.
Ensures the integrity, accuracy, and security of all academic records of current and former students.
Ensures compliance with recordkeeping standards, as well as University policies and procedures, and assure that all functions of the office are performed according to standards established by the American Association of Collegiate Registrars and Admissions Officers (AACRAO) as well as US federal rules and regulations, especially pursuant to FERPA.
Develops policies, procedures and department infrastructure to ensure high quality professional and knowledgeable service to students, faculty and staff.
Researches and resolves complex student classification, registration, and records problems, as needed.
Provides recommendations based on analysis of student needs and University needs related to registration, workflow, and effective processes and procedures.
Directly or in collaboration with staff, develops and administers systems for retention of confidential records including ensuring complete confidentiality of student records and other information of a confidential nature in compliance with all laws and regulations. Ensures the integrity of data in the student information system and related systems.
Maintains student records in multiple databases (reconciling records among multiple platforms), distributes academic information, and ensures the security and integrity of academic records.
Prepares data for summary reports, shares and distributes data as needed and requested.
Responsible for understanding Jenzabar Registration and Advising modules, configurations, processes, etc in order to fulfill functions of job.
Serve as the primary expert on FERPA, academic policies, and federal and state regulations.
Oversees all aspects of student records management: collecting, recording, maintaining, and reporting within FERPA guidelines (e.g., grades, registration data, transcripts, enrollment verification, and other associated audits).
Interpret registration and grading policies to faculty, students.
Responsible for student medical files and compliance with medical requirements for admission.
Determines academic standing for each student at the completion of each semester including: probation, dismissal or dean’s list.
Coordinates student withdrawal, leave of absence, and readmission procedures. Processes class changes, withdrawals, and tracks probations and dismissals.
Annually reviews academic policies and procedures and recommends updates, changes or new policies or procedures based on best practices and benchmark data.
Completes required reports for State and Federal agencies, organizations, and other entities.
Assists, as needed, the Office of Institutional Research in the preparation of periodic sets of internal and external statistics, as well as numerous ad hoc requests and reports on enrollment and faculty data.
Assist with graduation activities.
Responsible for the future credentialing services for alumni.
Other duties as assigned by the Provost and other University leadership.
Required Knowledge, Skills, and Abilities
Strong working knowledge of student information systems (preferably Jenzabar), document and course management systems.
Strong understanding of databases, data management, and report production, with the ability to develop effective queries and pull data.
Strong organizational skills.
Knowledge of best practices in higher education with respect to registration and records.
Ability to maintain confidentiality and security of information.
Demonstrate ethical behavior, professionalism, interpersonal skills, leadership, and management abilities sufficient to effectively direct the Office of the Registrar.
Demonstrate time management skills and organizational skills.
Ability to delegate.
Ability to problem-solve.
Demonstrate skills in spreadsheet and database management software.
Highly proficient and comfortable in manipulating large data sets.
Advanced computer skills using Microsoft Office Suite (Word, Excel, Powerpoint, Outlook), Adobe, Web-based calendar systems, email and various database software.
Be able to think, act and work systematically with a University-wide approach.
Excellent relationship builder.
Strong ability to make sound operational decisions.
Ability to think conceptually.
Ability to learn curriculum requirements, course content and necessary prerequisites within each degree program offered.
40+ hours per week with occasional evenings and weekends.

Minimum Qualifications
Master’s Degree with an accredited institution.
4-6 years of directly related professional experience
Preferred Qualifications
Doctoral Degree with an accredited institution.
Experience working at an institution delivering medical education.
